This Privacy Policy explains how Christopher Mason, trading as Clear English Coaching ("we", "us", or "our"), collects, uses, and protects your personal information when you use our services. We collect personal information that you provide directly, such as:

We do not collect any special categories of personal data (such as information about your health, racial origin, or religious beliefs).
1.1 Payments
If you make a purchase, payment details are handled securely by Stripe. We do not store your payment information.

2. How we use your information
We use your information to:
- Provide and deliver coaching services (including pre and post session planning, note-taking and feedback)
- Respond to enquiries
- Manage bookings and payments
- Communicate with you about your sessions
- Improve the website and services (including analysing website usage, where cookies or similar technologies are used only with your consent)
- Ensure security and prevent misuse
We only use your information where we have a valid legal basis, such as fulfilling a contract, your consent, or our legitimate business interests.
3. Sharing your information
We only share your information where necessary to run the service, including with:
- Stripe (payments)
- Google Analytics (website usage)
- Hostinger (website hosting)
- Web3Forms (contact form processing)
- Cookiebot (cookie consent management)
- Google Workspace (email and communication), and other communication tools where required
These providers only process your data as required to deliver their services.
We may also use tools to support the delivery of coaching sessions, such as note-taking or transcription. Where these involve processing personal information, they do so on our behalf and in accordance with applicable data protection laws.
If sessions are recorded with your consent, recordings are stored securely and retained only for as long as necessary for the agreed purpose (typically a short period), after which they are securely deleted. Recordings are not intended to be stored long-term or made available throughout the duration of a package.
4. International data transfers and where your data is accessed and processed
Some of the providers we use may process data within the UK or the European Economic Area (EEA), or outside these regions (for example, in the United States). Where data is processed outside the UK or EEA, we take steps to ensure appropriate safeguards are in place, such as standard contractual clauses or equivalent measures.
Your data may also be accessed and processed by us from within the UK, the European Economic Area (EEA), or other countries worldwide (for example, if we access data while travelling). Regardless of where we access your data from, we handle it in accordance with UK data protection laws, including UK GDPR.
5. How long we keep your information
We keep personal data only for as long as necessary. Retention periods are generally as follows:
- Financial records: 7 years (for legal and tax purposes)
- Client records (including correspondence, session notes, personalised learning plans and other coaching materials, excluding recordings): 7 years
- Website analytics: 14 months
- Contact enquiries: 12 months from the date of submission
- Waiting list enquiries: 12 months from the date of submission
We review retained data periodically and delete or anonymise data when it is no longer required. As a result, deletion may take place as part of our regular data review process rather than immediately at the end of the relevant retention period.
6. Data security
We take reasonable steps to protect your personal information. However, no system can be guaranteed to be completely secure.
7. Your rights
Depending on your location, you may have rights to:
- Access your data
- Correct or delete it
- Restrict or object to processing
- Request a copy of your data
